    AI for customer service

AI agents for customer service, with a person still accountable

What AI agents and AI answering services can safely do for a service team, what must stay with a person, and how to evaluate one before you buy or build.

AI agents for customer service answer routine questions, draft replies, summarize cases and route calls or messages to the right person. A person should keep anything sensitive, disputed or high-stakes. Before you buy or build one, decide which enquiries it may answer alone, how it hands over to a person, and how you will judge its quality.

what ai agents for customer service do

What AI agents for customer service actually do

An AI agent for customer service reads or hears a customer's message, works out what they want and acts within limits you set: it answers, drafts, looks something up, books, or passes the conversation to a person.

There are three places to put one: answering simple, repeated questions; helping staff draft, adjust or summarize; and routing a message to the right queue or person. Helping staff is the safest start, because a person reads every draft. Answering and routing give the agent more independence, so they need firmer rules first.

Chat, email and AI voice agents for customer service

Text channels such as web chat and email are easier to supervise, because every exchange is written down. AI voice agents for customer service speak on phone calls, which raises the stakes: callers cannot see a draft and a call that goes wrong is harder to recover. Start voice with narrow tasks such as taking a message or booking a slot, and make reaching a person easy at any point.

ChatGPT for customer service: drafting that a person checks

One sensible first step is using ChatGPT for customer service to draft and polish replies. A person still checks and sends every message, so the team stays accountable for what the customer reads. Letting an assistant answer customers directly is a different step that needs the scope and escalation rules below. If your team is standardizing on ChatGPT, our ChatGPT Enterprise training covers the team side.

Who this page is for, and who it is not for

It is for service leaders and small-business owners deciding whether to buy or build an AI agent, including regulated teams that need the rules written down first. It is not for anyone wanting a ready-made answering service: Kriv AI does not sell, operate, resell or rank AI phone, receptionist or answering services.

    where a person stays accountable

Where a person must stay accountable

An AI agent writes fluent answers whether or not they are right, so a wrong one does damage quickly. Decide before launch which conversations always belong to a person, and name that person.

Keep a person in charge of complaints and disputes, refunds and exceptions to policy, anything involving health, money, legal rights or safety, customers who are upset or vulnerable, and anything the agent was not built for. Write that list down, build it into the handover rules, and teach it to the whole team.

For medical practices, where front-office messages can contain patient information, see our AI for the Medical Practice Front Office course before deciding what any tool may read.

Design the escalation before the agent

Write the handover path first: who receives the case, in which system, with what summary, and what the customer is told while they wait. Define the triggers, such as a request for a person, a repeated question, visible frustration or a listed topic. Test the path with made-up conversations, including angry customers, and give one named person the authority to switch the agent off.

    how to evaluate

How to evaluate AI agents for customer service

Settle these five points in writing before you compare products or scope a build.

Our AI vendor evaluation checklist lists the questions to put to any vendor on data, access and change control.

    1. 1. Scope: what it may answer alone

List the enquiry types the agent may resolve without a person, the ones it may only draft for staff, and the ones it must hand over at once.

    2. 2. Sources: what it answers from

Point the agent at approved content such as help articles, policies and price lists, and name who keeps it current. Out-of-date pages produce confident, wrong answers.

    3. 3. Escalation: how it hands over

Define the triggers and what the person receiving the case sees, so the customer does not have to start again.

    4. 4. Data: what it may see and keep

Decide which customer data the agent can read, where conversations are stored and for how long, and who can review them. Ask each vendor to show you this in writing.

    5. 5. Measurement: what good looks like

Choose your own measures and record a baseline from today's team, for example answer accuracy on a sample, handovers, customers who had to repeat themselves, and complaints. Compare against that baseline, not a vendor's claim, and widen the agent's scope in stages.

ai receptionist answering service small business

AI receptionist and AI answering service for small business: what to check

AI customer service for small business covers three kinds of tool: an AI receptionist for small business, or AI phone answering service, that picks up calls; an AI chatbot on the website; or an AI phone system that routes calls and takes messages.

Searches for the best AI receptionist for small business, or the best AI phone system for small business, return lists, but no product is best for every business. Kriv AI is a consultancy and does not rank products. Use these checks on any shortlist, testing each with your own common calls.

AI chatbots for small business: start narrow

An AI chatbot for small business works best on a short list of questions you already answer every day. Give it your own written answers, tell it to hand anything else to a person, and read its conversations on a schedule while it is new. If your staff are new to AI, our AI Essentials for Small Business Teams course is a good first step.

    Question to askWhy it matters
What does it do when it cannot answer? It should take a message, offer a call back or transfer to a named person.
Can you control exactly what it says? You set its answers on prices, bookings and policies.
Does it tell callers they are speaking to AI?Openness protects trust; ask your counsel what applies to recorded calls.
Where are recordings and transcripts kept, and who can see them?Get the vendor's data terms in writing.
Does it connect to your calendar, phone line and customer records? An AI voice agent for small business that cannot book or look up an order only takes messages.
Can you review conversations and switch it off quickly? You need to read what it said and turn it off if something goes wrong.

    regulated teams

AI customer service agents in regulated teams

Kriv AI focuses on healthcare, life sciences, financial services and insurance teams, where a customer conversation can touch patient information, account details or a claim.

We write an agent's rules to the policy and frameworks you already answer to, such as HIPAA or the NIST AI RMF: which enquiries it may handle, what data it may read, who reviews its conversations, and how its part in a decision can be traced. We help write those rules and build to them; we do not certify compliance. Our guide to AI agent safety in regulated industries goes deeper.

    where kriv fits

    Where Kriv AI fits

We do two things for customer service teams: we design and build governed AI agents connected to your own systems, and we train the people who work alongside them.

Build work runs as part of our agentic AI and automation work: scoping the agent's enquiries, sources and handover rules, connecting it to your systems, and testing escalation with your staff. Workflow automation around it, such as routing and follow-up tasks, sits with our AI automation services. Each engagement is scoped and priced after a short discovery call, with a senior practitioner who both scopes and delivers.

Training runs through our instructor-led AI for Customer Service Teams course, one of the 20 Kriv AI courses approved for the Massachusetts Workforce Training Fund Express Program. It covers drafting replies, tone with a frustrated customer, case summaries and what must go straight to a person.

Our partner credentials, listed in full on our partners page: Kriv AI has achieved the Select partner tier in the Claude Partner Network Services Track, recorded as Claude Partner Network, Select partner · Services Track, with program details at claude.com/partners and written confirmation from the Claude Partner Network team available on request. We are also in the OpenAI Partner Network · Select tier, a Microsoft Solutions Partner for Cloud & AI Platforms · Partner ID 7036589, and an AWS Marketplace seller, 59 live listings.

The honest gap: we don't have a named customer service agent case study to show yet, so we will not quote results we cannot share.

    how an engagement runs

    How an engagement runs

Build, training or both, the work follows the same order.

    1. 1. Discovery call

Your channels, enquiry types, systems and what must stay with a person; we say whether a build, the course, or neither fits.

    2. 2. Written scope

Enquiry list, sources, escalation path, data access and your measures, agreed in writing before any build.

    3. 3. Build or train

The agent is tested with your staff on made-up conversations before it reaches a customer; the course runs with the whole team.

    4. 4. Handover

Your team owns the content, the keep-with-a-person list and the switch-off authority. Runbooks can be prepared on request.

    Straight answers

Frequently asked questions about AI agents for customer service, with a person still accountable

Can AI agents for customer service replace our support team?

No, and it is risky to plan as if they could. AI agents for customer service can handle routine questions, draft replies and route cases, but complaints, refunds, exceptions to policy and upset customers need a person. Let AI take the repeated, simple work so your team has time for the conversations that decide whether a customer stays.

Can we use ChatGPT for customer service?

Yes, for drafting replies that a person checks before sending, if your policy allows the data you put in. Keep personal and account details out unless that use is approved, verify prices and dates against your own systems, and read every draft. Letting an assistant answer customers directly is a separate step that needs written scope and escalation rules first.

Are AI voice agents ready for customer service calls?

For narrow tasks, they can be: taking a message, answering a short list of common questions or booking a slot. For open-ended calls, complaints or anything involving health, money or legal rights, keep a person on the line. Callers should be able to reach a person at any point, and someone should review recorded calls on a schedule you set.

What is the best AI receptionist for small business?

There is no single best AI receptionist for small business; it depends on what callers ask and which systems it must connect to. Shortlist two or three, test each with your own common calls, and compare how they hand over, what you control, where recordings are kept and how quickly you can switch them off. Kriv AI does not rank these products.

How is an AI answering service for small business different from a human answering service?

An AI answering service follows the answers and rules you give it, but it does not use judgment the way a trained person does, and a human service handles unusual or emotional calls better. A workable set-up is AI for simple calls, with written rules that send anything unusual to your staff or a human service. Kriv AI operates neither kind.

Which customer enquiries should never be handled by AI alone?

Complaints and disputes, refunds and exceptions to policy, anything about health, money, legal rights or safety, customers who are distressed or vulnerable, and any question the agent was not set up for. Write this list down before launch, build it into the escalation rules, and teach it to every person on the team, including whoever picks up escalated cases.

How much does it cost to set up AI customer service with Kriv AI?

It depends on the channels, the number of enquiry types, the systems the agent must connect to and how sensitive the data is, so compare written scopes rather than headline figures. At Kriv AI, build work and team training are each scoped and priced after a short discovery call. Massachusetts employers can also ask whether the Workforce Training Fund Express Program applies to the course.
