ChatGPT for small and mid-size business
ChatGPT for business: choosing a plan and rolling it out safely
What OpenAI's business plans are, how to choose between them, and how to give your team a policy, data rules and training before the first seat is used.
ChatGPT for business means giving staff a company ChatGPT workspace rather than personal accounts. OpenAI's business plans are ChatGPT Business, a self-serve workspace for teams of two or more, and ChatGPT Enterprise, arranged through OpenAI's sales team. Before rollout, set a short use policy, data rules and training, and keep a person accountable for every output.
what chatgpt for business is
What ChatGPT for business is, and the plans OpenAI offers
ChatGPT for business is a company workspace that staff sign in to with work accounts, managed by an administrator, instead of each person using a personal account. OpenAI's pricing page separates individual plans (Free, Go, Plus and Pro) from business plans (Business and Enterprise), and states that Free, Go and Plus are designed to be used by individuals while Business and Enterprise are for businesses.
Plans and features change: this table reports OpenAI's pages as read on 2026-10-20, so check OpenAI's pricing page and your agreement on the day you decide.
What OpenAI says about business data
OpenAI's enterprise privacy page (updated January 8, 2026) says that by default it does not use data from ChatGPT Business, ChatGPT Enterprise or the API Platform to train its models, unless you have explicitly opted in to share it. Its ChatGPT Business answers add that workspace admins can view, export and delete members' conversations, and can control how long data is retained. The terms that bind your company are in your agreement with OpenAI; read it with your compliance lead.
Who this page is for, and who it is not for
It is for owners, operations leads and IT leads at small and mid-size companies moving staff from personal ChatGPT accounts to a company workspace, including regulated firms holding sensitive client data. It is not for individuals choosing a personal plan, or developers comparing APIs.
| Plan | What OpenAI's own pages say (read 2026-10-20) |
|---|---|
| Free, Go, Plus, Pro | Individual plans. OpenAI's plan comparison lists no admin console, SAML SSO or dedicated workspace for them, and marks content as used to train its models, with an opt-out available. |
| ChatGPT Business | A self-serve plan for organizations that want a shared ChatGPT workspace, with admin controls for users, roles and access, centralized billing, and Standard or Premium seats. A workspace needs at least two seats. It was formerly called ChatGPT Team. |
| ChatGPT Enterprise | For a larger deployment or more advanced controls. OpenAI's Business page sends buyers who need SCIM, role-based access controls or data residency to its sales team. |
| API Platform | Separate from ChatGPT Business and billed separately. It is for engineering teams building their own tools on OpenAI models. |
how to roll out
How to roll out ChatGPT for business in a small or mid-size company
Buying seats is quick. The real work in ChatGPT for small business is deciding how people should use them. We run a rollout in five steps, in this order.
ChatGPT for small business: use cases where a person stays accountable
Good first uses are ones where a person reads and owns the result: drafting emails, proposals and job adverts that someone edits and sends; summarizing long documents or meeting notes for a reader who then checks the source; first drafts of marketing copy, which our AI for small-business marketing page covers; and analysing a spreadsheet, with every figure reconciled to the file.
Keep these with a person: final price quotes, anything sent to a regulator, legal, medical or tax advice, hiring and pay decisions, and replies to complaints. ChatGPT can help draft them, but the decision and the signature stay with someone named.
Personal accounts after the company workspace exists
Decide it explicitly: either allow personal accounts for non-sensitive work or require all work use in the company workspace, and name the data that does not go into a personal account. Our guide to managing shadow AI covers tools staff adopt on their own.
1. Name a workspace owner
One person owns the workspace settings, the member list and the policy, with a named backup.
2. Write a one-page use policy
What ChatGPT may be used for, which outputs a person must review before they leave the company, and what happens to personal accounts once the company workspace exists.
3. Set data rules
Name the data classes that stay out of the workspace, such as client records, health information or payment details, unless your agreement and settings have been checked and the decision is written down.
4. Train by role, on real work
Short sessions on the documents each group handles, ending with prompts tested on their own work and a habit of checking facts against the source.
5. Start with use cases where a person stays accountable
A short list of first uses, each with a named owner, reviewed after an agreed period and widened in stages.
how to choose a plan
How to choose a ChatGPT plan for your business
No single plan suits every company. Answer these questions first, then compare the current plans and prices on OpenAI's pricing page.
If you are heading toward a larger rollout, our ChatGPT Enterprise training page covers what changes at that size, including owner records for shared custom GPTs.
ChatGPT for business pricing: where to check
OpenAI publishes plan prices on its own pricing page, and its Business help article notes that pricing may vary by country and currency. Per OpenAI's pricing page, paid plans are priced per user per month, with monthly and annual billing for Business and annual plans for Enterprise. We do not repeat the figures because they change. Your real cost also includes the time to write a policy and train people, which is the part Kriv AI helps with.
| Question | What it points to |
|---|---|
| Is this for one person, or a team sharing work? | OpenAI designs Free, Go and Plus for individuals. A shared workspace with admin controls means ChatGPT Business or ChatGPT Enterprise. |
| Do you need central control of members, roles and billing? | OpenAI lists admin controls for users, roles and access, and centralized billing, for ChatGPT Business. |
| Do you need SCIM, role-based access controls or data residency? | OpenAI's Business page directs these requirements to its sales team, which handles ChatGPT Enterprise. |
| Do you need invoicing, purchase orders or contracted terms? | OpenAI's help article says sales-led options like these call for a contracted offering rather than self-serve ChatGPT Business. |
| Will developers build their own tools on OpenAI models? | API usage is not included in ChatGPT Business and is billed separately. |
| Which data will people put in? | Read the data terms with counsel before choosing. For a regulated firm, this question can decide the plan on its own. |
regulated small business
ChatGPT in regulated small and mid-size firms
Kriv AI focuses on healthcare, life sciences, financial services and insurance, where a small practice, agency or advisory firm can still hold patient, client or claims data.
We write the use policy and data rules to the policy and frameworks you already answer to, such as HIPAA or the NIST AI RMF: which data classes stay out, which outputs need review, and how use is recorded where your own procedures require it. We help write those rules and train people to them; we do not certify compliance. Whether a plan suits regulated data is for your agreement with OpenAI and your counsel to settle.
Our page on safe AI use in regulated workplaces covers the daily habits behind those rules.
where kriv fits
Where Kriv AI fits: rollout and training
Kriv AI helps with the part an OpenAI plan leaves to you: the owner, the policy, the data rules and the training.
For a small or mid-size business, that is the five-step rollout above. For larger rollouts and custom GPT owner records, see ChatGPT Enterprise training. If your teams use more than one AI tool, our AI training for employees covers them side by side. Staff new to AI can start with AI Essentials for Small Business Teams, and prompt skills are covered in prompt writing and instruction design.
Kriv AI is in the OpenAI Partner Network · Select tier. We do not yet have a public directory link for it, so verification is available on request. Our other credentials are listed on our partners page.
Each engagement is scoped and priced after a short discovery call, with a senior practitioner who both scopes and delivers. Massachusetts employers can ask whether the Workforce Training Fund Express Program applies to their training.
The honest gap: we don't have a named ChatGPT for business case study to show yet, so we will not quote results we cannot share.

Frequently asked questions about ChatGPT for business: choosing a plan and rolling it out safely
What is ChatGPT for business?
It is a company ChatGPT workspace that staff use with work accounts, run by an administrator, instead of personal accounts. OpenAI's business plans are ChatGPT Business, a self-serve plan for teams with admin controls and centralized billing, and ChatGPT Enterprise, for larger deployments or more advanced controls through OpenAI's sales team.
Is ChatGPT Plus enough for a small business?
OpenAI states that Plus is designed for individuals. Its plan comparison lists no admin console, SAML SSO or dedicated workspace for Plus, and marks Plus content as used to train its models, with an opt-out available. If several people share work, or you need to control members and data settings centrally, look at ChatGPT Business instead.
How much does ChatGPT for business cost?
OpenAI publishes plan prices on its own pricing page, so check it on the day you buy; we do not repeat figures that change. Per that page, paid plans are priced per user per month, and Enterprise is arranged with OpenAI's sales team. Kriv AI's rollout and training work is separate from your OpenAI subscription and is scoped and priced after a short discovery call.
Is ChatGPT Business the same as ChatGPT Team?
Yes. OpenAI's help center says ChatGPT Team was renamed ChatGPT Business in 2025, and that the rename itself did not change the plan, though pricing and seat options can change over time. If your policy or training materials still say Team, update the name.
Does OpenAI use our business data to train its models?
OpenAI's enterprise privacy page says that by default it does not train its models on data from ChatGPT Business, ChatGPT Enterprise or the API Platform, unless you explicitly opt in to share it. For individual plans, its pricing page says content is used for training with an opt-out available. Read the terms in your own agreement with counsel; that agreement, not a web page, is what binds your company.
What should a small business put in its ChatGPT policy?
Keep it to one page: who owns the workspace, what ChatGPT may be used for, which data classes stay out, which outputs a person must review before they leave the company, what happens to personal accounts, and who to ask or tell when something goes wrong. Teach it inside the training sessions.
When should a growing business talk to OpenAI about ChatGPT Enterprise?
OpenAI's own pages point you there when you need a larger deployment or more advanced controls, such as SCIM, role-based access controls or data residency, or sales-led terms like invoicing and purchase orders. Our ChatGPT Enterprise training page covers what changes in the rollout at that size.
Can Kriv AI help us roll out ChatGPT for small business?
Yes. You buy the plan from OpenAI; we help with the rollout around it: naming a workspace owner, writing the one-page policy and data rules, training each group on its own material, and choosing first use cases where a person stays accountable. Kriv AI is in the OpenAI Partner Network · Select tier, with verification available on request.
