    Microsoft Copilot Training and Adoption

Microsoft Copilot Training by Role, With Governance Built In

Copilot answers from your mail, chats and files. We start by checking what it can see, then train each role in the apps they already live in, and train your makers to build Copilot Studio agents someone owns.

Copilot training from Kriv AI starts with a review of what Microsoft 365 Copilot can reach in your tenant, then teaches each role to use it inside Outlook, Teams, Word and Excel on their own work, and trains makers to build and maintain Copilot Studio agents. A champions programme and usage reporting keep adoption tied to real tasks.

    what copilot can see

Copilot Training Starts With What Copilot Can See

Microsoft documents that Microsoft 365 Copilot works with content in Microsoft Graph, such as emails, chats and documents, that the user has permission to access. That one design decision shapes how we train.

It means Copilot does not create new access, but it makes existing access far easier to use. A finance folder shared with the whole company years ago, a Teams channel nobody cleaned up, a SharePoint site with broken inheritance: none of these were a problem while finding the content took effort. Once anyone can ask for it in plain language, they become one.

So the first deliverable in our Copilot engagements is not a training session. It is an oversharing review with your Microsoft 365 administrators, done before the pilot group widens. We say upfront what we cannot show you: we do not yet have a named Copilot client story to point to, and we will not invent one.

    The oversharing review checklist

Sites, teams and libraries shared with everyone or with large groups, ranked by the sensitivity of what they hold. Sharing links that grant organization-wide access. Sensitive content that is not labeled in practice, whatever the labeling policy says. Guest access on sites holding regulated data. Each finding gets an owner and a fix date, and the highest-risk ones are closed before Copilot reaches people outside the pilot.

Who this is for, and who it is not for

It is for organizations that have licensed Microsoft 365 Copilot, or are about to, and need the rollout to satisfy a compliance officer, privacy team, model-risk function or internal auditor. Our niche is healthcare, life sciences, financial services and insurance. It is not for teams that want a self-paced video library; Microsoft's own learning content does that well and at no cost.

    by app and role

Microsoft 365 Copilot Training by App and Role

People do not use Copilot in the abstract. They use it in Outlook at 8 a.m., in a Teams meeting at 10 and in a workbook at 4. Each role track is built around the two or three apps that role spends its day in, using tasks we collect from that team beforehand. Session lengths are the format we propose.

    Teams meeting workflows

Meetings are where most roles first feel the value, and where the governance questions get practical: whether transcription is on, who in the meeting can ask Copilot about it afterwards, and whether a summary of a sensitive discussion should exist at all. We agree those rules with you first, confirm what your tenant's meeting settings allow, and then teach recap, action-item and follow-up workflows inside them.

    copilot studio

Copilot Studio Training: The Agent Lifecycle

Copilot Studio is Microsoft's tool for building agents. Our Copilot Studio training runs as two 3-hour build labs for makers, power users and the IT staff who will support what gets built, and it follows one approved use case through its whole life rather than a demo.

    1. 1. Intake and approval

The business owner states what the agent is for, who will use it and what it must never answer. No build starts without that sign-off.

    2. 2. Knowledge and connections

Connect only the sources the job needs, and check that the people who will use the agent should be able to see what those sources contain.

    3. 3. Build and test

Write the instructions, then test against a written set of normal, edge and should-refuse questions. Participants try to break each other's agents.

    4. 4. Publish to a defined audience

Decide which environment and channel it goes to and who can use it, following the publishing rules your administrators set.

    5. 5. Own, change and retire

Every agent leaves the lab with a named owner, a change-approval rule and a review date. An agent nobody owns is switched off, not left running.

    adoption

Copilot Adoption: Champions, Usage Data and a Prompt Library

Copilot adoption is measured, not assumed. Before training we agree a baseline from whatever Copilot usage reporting your Microsoft 365 admin center provides, and we revisit the same measures at the end.

Champions are one or two people per team, and the role only works if it has time attached. We propose about two hours a week during the rollout, agreed with their managers in advance. Champions meet in four 1-hour sessions, collect the prompts that worked and the ones that failed, and run short drop-in clinics in the weeks after their team's session.

The prompt library is organized by role and app, and every entry carries its failure case. A sample entry: Finance, Excel. Prompt: summarize the three largest variances against budget and suggest a likely cause for each. Known failure: Copilot can suggest a plausible cause the data does not support, so the analyst confirms each cause with the budget owner before the commentary is used.

    governance

Governance for Healthcare, Financial Services and Insurance Teams

The rules we put in place before rollout are short and written for the people who have to follow them. We write them to the policy and frameworks you already answer to, such as HIPAA, SR 26-2 or the NAIC Model Bulletin, rather than adding a parallel rulebook.

They cover what data never goes into a prompt, which outputs need human review before they leave the team, how Teams meetings with sensitive content are handled, and who may publish a Copilot Studio agent to whom. These are practices worked through with your IT, security and compliance owners using the controls your tenant already has; what your licenses and configuration support is confirmed in your environment during discovery.

    how it runs

How a Copilot Rollout Engagement Runs

    1. 1. Discovery call

Licensing status, roles in scope, whether a pilot group exists, and what your compliance reviewers will ask.

    2. 2. Readiness gate

Oversharing review, meeting and agent publishing rules, usage baseline, and task collection for each role.

    3. 3. Pilot wave

Foundations and role tracks for the pilot group, champions recruited, first Copilot Studio lab.

    4. 4. Broad wave

Role tracks for the remaining teams once the highest-risk oversharing findings are closed.

    5. 5. Readout and handover

Usage against baseline, the use cases that stuck, and the prompt library, agent records and rules your team now owns.

    Straight answers

Frequently asked questions about Microsoft Copilot Training by Role, With Governance Built In

Should we fix oversharing before rolling out Copilot?

For regulated teams, yes, at least where sensitive data sits. Microsoft documents that Copilot works with content the user already has permission to access, so anything shared too widely becomes much easier to find. We run the review with your administrators, rank findings by sensitivity, and close the highest-risk ones before Copilot reaches people outside the pilot group.

What is the difference between Microsoft Copilot training and Microsoft 365 Copilot training?

People use the names loosely, and Microsoft renames products often. Our role tracks cover Copilot inside the Microsoft 365 apps, working with your organization's mail, chats and files. Copilot Studio, the tool for building agents, is covered in separate labs. In discovery we confirm which Copilot products and licenses you have, so training matches what people will actually open.

Who should attend Copilot Studio training?

Makers and power users who will build agents other people rely on, and the IT staff who will support and govern what gets published. Send the business owner of the chosen use case for at least the intake and testing parts. Everyday Copilot users do not need it; the role tracks cover what they need.

How do you measure Copilot adoption?

We agree a small set of measures before training, take a baseline from the Copilot usage reporting in your Microsoft 365 admin center, and compare against it at the end. We also track which prompt-library entries teams keep using. Activity alone is not success, so the readout names the specific tasks that changed and the ones that did not.

Is Kriv AI a Microsoft partner?

Yes. Kriv AI is a Microsoft Solutions Partner for Cloud & AI Platforms · Partner ID 7036589. That designation covers cloud and AI platform work. It is not a Copilot-specific certification, and we do not describe it as one. Our partners page lists each status and how to verify it.

How much does Copilot training cost?

We do not publish a set price for Copilot training. Each engagement is scoped and priced after a short discovery call, because the cost depends on the number of role tracks, the size of the maker group, and how much readiness work your tenant needs before rollout. Our pricing page explains how we scope engagements.
