Microsoft 365 Copilot rollout
Microsoft 365 Copilot for business: what it is and how to roll it out
What the licensed Copilot adds over Copilot Chat, the order to roll it out in a small or mid-sized company, and where finance and sales staff stay accountable for what it drafts.
Microsoft 365 Copilot for business is the licensed Copilot that answers from your organization's email, files, meetings and chats, limited to what each user can already open. Copilot Chat, included with eligible Microsoft 365 plans, answers mainly from the web. Roll it out by fixing permissions first, piloting with one group, and measuring against your own baseline.
what microsoft 365 copilot for business is
What Microsoft 365 Copilot for business is
Microsoft 365 Copilot is the Copilot that works inside your Microsoft 365 tenant. With the add-on license it draws on a user's email, files, meetings, calendar and chats through Microsoft Graph, and only on content that user can already see.
Microsoft's documentation now names it Microsoft Copilot, and Copilot Chat is now Microsoft Copilot Chat; license tiers and admin screens still use the older names, so you will see both. Microsoft describes three experiences, and what separates them is what Copilot may read.
Microsoft Copilot for business vs Copilot Chat
Copilot Chat is a sensible first step: prompts and responses get Microsoft's Enterprise Data Protection when staff sign in with a work account, and Copilot Chat in Outlook already answers across a bounded set of mail and calendar content. It does not reason across your files, meetings and chats on its own. The licensed Microsoft Copilot for business does, which is why permissions matter far more once you license it.
Copilot for business vs Microsoft 365 Copilot enterprise
Microsoft Copilot Business is the add-on for smaller organizations on eligible Microsoft 365 Business plans, up to a user limit Microsoft publishes. Larger organizations use enterprise licensing. We do not quote license prices; check eligibility and current plans on Microsoft's license options page, listed in this page's sources.
Microsoft 365 Copilot for Teams meetings and chats
In Teams, Copilot summarizes and transcribes meetings and captures action items. Microsoft notes that it can use meeting content after the meeting ends only if transcription or recording is configured. Set that deliberately, and tell staff and guests how meetings are recorded.
Who this page is for, and who it is not for
It is for owners, operations leads and IT managers at small and mid-sized companies, including regulated teams, deciding how to license and launch Copilot. It is not a license price comparison.
| Experience (Microsoft's label) | What it answers from |
|---|---|
| Copilot Chat (Basic) | Included with eligible Microsoft 365 licenses. Mainly the web; work content only when a user uploads it, has it open in Outlook or Teams, or uses an agent with that access. No automatic Microsoft Graph grounding. |
| Microsoft 365 Copilot (Basic) | No add-on license, but standard access to Copilot in Word, Excel, PowerPoint and OneNote. No automatic grounding in your organization's data. |
| Microsoft 365 Copilot (Premium) | The add-on license. Web plus work data through Microsoft Graph and Work IQ, pulled in automatically, with priority access and agents that use work data. |
agents and admin controls
Agents and the controls your admins hold
Microsoft describes agents as scoped versions of Copilot that combine instructions, knowledge and skills for specific tasks. They come from Microsoft, from vendors, or from your own staff using tools such as Copilot Studio.
In the Microsoft 365 admin center, admins can enable, assign, block or remove agents, approve agents built in-house, and see the data access each agent requests; staff can use only allowed agents. Copilot controls also cover web search grounding and removing Copilot Chat access, and an AI Administrator role avoids handing out Global Administrator rights.
Microsoft states that prompts, responses and data accessed through Microsoft Graph are not used to train the foundation models behind Copilot, that Copilot honors the usage rights set by sensitivity labels, and that admins can use Microsoft Purview to search and retain Copilot interactions. Those are Microsoft's commitments about Microsoft's service; read them against your own agreements.
For agents from outside vendors, our AI vendor evaluation checklist lists the questions to ask on data, access and change control before an admin allows them.
rollout steps
How to roll out Microsoft 365 Copilot in a small or mid-sized company
The order matters more than the speed. The first two steps decide whether the rest is safe.
Personal accounts and unlicensed use
Microsoft advises having staff sign in with their Entra work account and using tenant restrictions to control personal-account sign-in. If staff already use consumer AI tools for work, handle that in the same rollout; our guide to shadow AI risk management covers the policy side.
1. Readiness: check the prerequisites
Microsoft lists an eligible Microsoft 365 base license, a Microsoft Entra ID work account per user, an Exchange Online mailbox for mail-based features, OneDrive for some features, Microsoft 365 Apps for desktop Copilot, and network rules allowing the cloud.microsoft domain. Turning off connected experiences that analyze content also removes Copilot from Word, Excel, PowerPoint, Outlook and OneNote.
2. Data access and permissions hygiene
Copilot surfaces only what a user can already view, so every overshared site and 'anyone with the link' file becomes easy to find. Review your most sensitive sites first, fix access at the source, and use SharePoint Advanced Management, restricted content discovery during reviews, and Purview sensitivity labels.
3. Decide the policies before the licenses
Write down which agents are allowed, whether web search may ground answers, how long Copilot interactions are kept, what meetings may be recorded, and who approves new agents. Name the owner of these decisions.
4. Pilot with one group
License a small mixed group, including someone from finance and from sales, with a sponsor who will act on findings. Give them real tasks and a rule for reporting anything Copilot surfaced that they should not have seen.
5. Train each role on its own work
People learn Copilot fastest on the documents, meetings and spreadsheets they already handle, including how to check its output. Our Microsoft Copilot training page describes how we run role sessions.
6. Measures you define, against a baseline
Microsoft's usage reports show activity, not value. Before the pilot, pick measures for a few named tasks, such as time to produce a recurring report or errors caught in review, and record today's figures. Widen licenses in stages where the measures support it.
copilot for finance and sales
Copilot for sales and Microsoft 365 Copilot for finance: where a person stays accountable
Searches for Copilot for sales and Microsoft 365 Copilot for finance lead, in Microsoft's current documentation, to two role agents: the Sales agent in Microsoft 365 Copilot and Finance Agent. Both draft and suggest; neither should have the last word on a customer commitment or a number in the books.
Copilot for sales: the Sales agent
Microsoft describes the Sales agent as a chat over your CRM data, customer emails, Teams meetings and messages. It summarizes accounts and opportunities and prepares meeting briefs, showing only what the seller can already access. Email and meeting data require a Microsoft 365 Copilot license; some embedded experiences are marked preview.
The seller stays accountable for prices, discounts, dates and terms, which come from your systems and approvers, and reads every drafted follow-up before it goes out. Our AI for Sales and Customer Communication course covers these review habits.
Microsoft Copilot for finance: Finance Agent
Microsoft describes Finance Agent in Excel, Outlook and Microsoft Copilot. In Excel it runs a reconciliation agent that compares data sets, drafts a report and suggests causes of discrepancies. In Outlook it supports collections with ERP data, naming Dynamics 365 Finance and SAP among supported systems. Microsoft states its generated content is currently in United States English only.
A named person in finance reviews each suggested fix, approves any adjustment in the system of record, signs off the reconciliation, and reads collections emails before they are sent. Our AI for Bookkeeping and Finance Operations course covers these review habits.
regulated teams
Microsoft 365 Copilot in healthcare, financial services and insurance
Kriv AI focuses on healthcare, life sciences, financial services and insurance, where a Copilot answer can draw on patient information, account details or a claim file simply because a user had access.
We write the Copilot rules to the policy and frameworks you already answer to, such as HIPAA or the NIST AI RMF: where regulated data sits, which roles are licensed first, which agents are allowed, what is retained and who reviews output. We help write those rules and work with your IT lead to apply them; we do not certify compliance.
For banks: SR 26-2 states that generative AI and agentic AI are not within its scope. Your own risk management should still decide how Copilot is used.

Straight answers
Frequently asked questions about Microsoft 365 Copilot for business: what it is and how to roll it out
What is Microsoft 365 Copilot for business?
It is the licensed Copilot in Word, Excel, PowerPoint, Outlook and Teams that answers from your organization's email, files, meetings and chats through Microsoft Graph, limited to what each user can already view. Microsoft now calls it Microsoft Copilot. Smaller organizations can buy it as the Microsoft Copilot Business add-on on eligible Business plans.
What is the difference between Copilot Chat and Microsoft 365 Copilot?
Copilot Chat is included with eligible Microsoft 365 licenses and answers mainly from the web, using work content only when a user supplies it, has it open in Outlook or Teams, or uses an agent with access. The licensed Microsoft 365 Copilot grounds answers automatically in work data through Microsoft Graph, with priority access and work-data agents.
Is Copilot for business the same as Microsoft 365 Copilot enterprise?
Microsoft describes the same Copilot capabilities with different licensing routes: Microsoft Copilot Business for smaller organizations on eligible Business plans, up to a user limit Microsoft publishes, and enterprise licensing for larger ones. Check Microsoft's license options page before buying, because terms change.
What does Microsoft 365 Copilot do in Teams?
In Teams meetings, Copilot can summarize and transcribe the discussion and capture action items, and in chats it works with the conversation you have open. To use meeting content after a meeting ends, transcription or recording must be on. Decide that policy before launch and tell staff and guests how meetings are recorded.
What is Copilot for sales?
In Microsoft's current documentation, it is the Sales agent in Microsoft 365 Copilot: a chat over CRM data, customer emails and Teams meetings that summarizes accounts and prepares meeting briefs. Email and meeting data need a Microsoft 365 Copilot license. The seller still checks every figure and sends every message.
Can Microsoft 365 Copilot for finance reconcile our accounts?
Finance Agent can help: in Excel it compares data sets, drafts a reconciliation report and suggests causes of discrepancies. It does not replace sign-off. A named person reviews each suggested fix, approves any adjustment in the system of record and owns the reconciliation. Microsoft states its generated content is currently in United States English only.
Will Microsoft 365 Copilot show employees files they should not see?
Copilot shows each user only what they can already view, so it grants no new access. The risk is access that exists by mistake, such as overshared sites or open links, which Copilot makes easier to find. Fix permissions on your most sensitive sites before licensing, and use restricted content discovery while reviews run.
How is a Microsoft 365 Copilot rollout with Kriv AI priced?
Rollout work, including the permissions review, pilot and role sessions, is scoped and priced after a short discovery call, because it depends on your plans, roles and how much sensitive content needs review. Copilot licenses are bought at Microsoft's prices, which we do not quote; see Microsoft's license options page.
